Help page for setting up your new e-mail account

This will help you set up your account through Microsoft Outlook or Microsoft Outlook Express. If you have different software, please contact us on 01747 858 000 and we will try to talk you through the process.

Before setting up you should have the following information about the e-mail account:

  • e-mail address (e.g. johnsmith@swallowcliffe.com)
  • Account name (e.g. swallowcliffe_johnsmith)
  • Password
  • Your ISP's outgoing mail server (SMTP) (e.g. smtp.freeserve.com)

Microsoft Outlook Express Version 3.x and 4.x

  • Go to Tools menu and click Accounts (near the bottom), click the Add button then Mail...
    Enter the Display name, this is the name you want to appear on your messages (i.e. your name).
  • Click Next.
  • Select 'I already have an e-mail address' and enter your assigned e-mail address.
  • Click Next.
  • Select 'Incoming mail' as POP3, and 'Incoming mail server' as "mail.cravenplan.co.uk", and your 'Outgoing mail server' is what you ISP's mail server has assigned you with. (If you are unsure of your ISP settings, please call us on 01747 858 000 and we will try to help you).
  • Click Next.
  • Enter your assigned account name and password you have when applying for this e-mail account. Like "johnsmith@swallowcliffe.com" if you requested johnsmith.
  • Tick 'Remember password'.
  • Do NOT tick 'Log on using secure password authentication'.
  • Click Next.
  • Select 'Connection type' to using my phone line.
  • Click Next.
  • Select the modem you use to dial up.
  • Click Next.
  • Choose the dial up connection you wish to use to collect your e-Mail's.
  • Click Next.
  • Type in the phone number of your ISP.
  • Click Finish.

Microsoft Outlook Version 5.x

1) Accounts...   2) Mail...
Outlook Express 5 - Tools menu
Outlook Express 5 - Add button
Go to Tools menu and select Accounts... (near the bottom)
 
Click the Add button and select Mail from the popup menu.

Outlook Express 5 - Display name
 
Outlook Express 5 - Email address
Type in the name you want to appear on your messages.
Click Next.
 
Select 'I already have an e-mail address' and enter your assigned e-mail address.
Click Next.

Outlook Express 5 - POP3
 
Outlook Express 5 - Incomming mail
Select 'Incoming mail' as POP3
 
For 'Incoming mail server' enter "mail.cravenplan.co.uk"
   
7) Outgoing mail server   8) Account Name & Password
Outlook Express 5 - Outgoing mail
 
Outlook Express 5 - Username / Password
Your 'Outgoing mail server' is what you ISP's mail server has assigned you with.
(If you are unsure of your ISP settings, please call us on 01747 858000 and we will try to help you).
Click Next.
 
Enter your assigned account name and password used when applying for this e-mail account.
Tick 'Remember password'.
Do NOT tick 'Log on using secure password authentication'.
Click Next.
   
9) Finished   10) Collecting mail
Outllok Express 5 - Finish button
 
Outllok Express 5 - Send and Receive button
That's it you are done.
Click Finish.
 
To begin receiving new mail click the Send/Receive button on Outlook's toolbar

Setting up an alternate reply address
These instructions are for Outlook Version 5.x.

  • Open Outlook Express and go to the Tools menu and select Accounts...
  • Click Mail and select from the list your Swallowcliffe e-mail account (it might be called "mail.cravenplan.co.uk").
  • Click the Properties button.
  • In the "Reply address:" box enter your Swallowcliffe e-mail address (e.g. "johnsmith@swallowcliffe.com").
  • Click OK.
Your alternate reply address has now been successfully set up.
